Summerhouse

The Summerhouse overlooking the Mansfield Garden, is an elegant addition to our venue hire options. As this space is covered it's perfect for more intimate gatherings, events or incentives and is situated in the heart of the Enclosed Gardens.

The Pavilion

The Pavilion is a flexible venue designed to host a variety of events. Containing five unique hireable spaces, this venue can accommodate occasions such as large-scale dinners, small meetings, conferences, wedding receptions, and much more. 

Positioned near the main entrance, The Pavilion facilitates easy access to complimentary parking and the Enclosed Gardens for guests to explore. 

Flexible meeting rooms for every occasion

Whether you are organising weekly team sessions, facilitating focus groups, or delivering interactive presentations, our thoughtfully designed meeting rooms are tailored to foster collaboration and engagement among groups. Certain spaces can be seamlessly combined to increase capacity, providing you with the flexibility you need for your event. We offer four distinct meeting rooms available for hire: 

  • Chartwell Room: Accommodates 55 to 120 guests.

  • Piwakawaka Room: Ideal for gatherings of 40 to 74 attendees.

  • The Boardroom: Perfect for intimate meetings with 8 to 10 participants.

  • Link Room: Seats 40 to 76 guests comfortably.

Venue Hire Terms & Conditions

The following Venue Hire Terms & Conditions are for use in relation to Hamilton Gardens, FMG Stadium Waikato, Seddon Park and Claudelands (including GLOBOX Arena, Claudelands Conference & Exhibition Centre and The Grandstand).

General information

  • Many of our rooms can be combined using retractable walls.
  • All catering and alcohol must be through one of our preferred caterers.
  • AV equipment available (TBC).
  • Chairs, tables, and other equipment available for use at additional cost.
  • A bond may be required.

No, unless you’ve pre-organised this with the Bookings Team. Hamilton Gardens staff can set up or pack down for your event during business hours for an additional cost.

Yes. Please ensure you allow time in your booking for setting up in advance and packing out afterwards.

Yes. You can access free wifi in all four rooms within the Hamilton Gardens Pavilion. Details will be provided upon booking.

Yes. Parking for your event is free at Hamilton Gardens.

Where to park at Hamilton Gardens

Tentative bookings are held for one month and then automatically released. A booking is regarded as tentative until the confirmation letter has been signed and returned. Full payment is required prior to your event. A refundable bond may also be required.

Yes, a standard clean is included in the venue hire price. Please ensure the room is left in the same condition as when you arrived. We have a recycling station and rubbish disposal station available.

Only for additional services. Hamilton Gardens venue hire prices remain the same on public holidays, however supplementary services may incur an additional surcharge, such as catering or security guards.

Anyone doing physical work at Hamilton Gardens, including caterers, decorators, and event managers, needs to complete our health and safety pre-qualification process.

Access to the back of The Pavilion is available near the rose garden via the service lane of Gate 2 car park.

The best car park to access these hireage spaces is carpark 2, follow the directions to the main entrance to Hamilton Gardens. The Pavilion building entrance is found to the right of the main entry.

Charites get a 66% discount and Community Groups get a 33% discount for hiring a meeting room at Hamilton Gardens. When you make your booking, you will need to provide proof that you are a registered charity, and for a Community Group you will need to demonstrate how your event has a benefit to the community.

Self-catering is not available. Our wonderful, preferred caterers can design your ceremony menu, with food and beverage options to your liking and dietary requirements and budgets to suit all. Contact our Bookings Team about our preferred caterers.
