Some events may be required to pay a refundable bond to cover potential damage. There is a booking fee for the Victorian Garden Temperate Greenhouse. Hirage of other outdoor areas is covered by a donation. A booking is not confirmed until a booking form has been signed.

A booking will reserve a specific garden area for a specific time and cannot be changed to another area or time without prior arrangement. Sometimes an indoor venue, such as a room in the Hamilton Gardens Pavilion is booked as a backup in case of bad weather.

Unless special provisions have been made in terms of the Reserves Act 1977 a booking cannot give anyone exclusive access to an area. The public have a right to enter a garden, however experience suggests most people are very considerate.

To avoid disrupting the general peace of Hamilton Gardens for other visitors music is restricted to non-amplified instruments.

Tents and other structures cannot be erected without prior approval from the Customer Service Manager. Consideration has to be given to blocking public access, underground irrigation pipes, and other damage.

To protect you as an event organiser and Council, organisers of some large outdoor events will be required to provide a Risk Management Plan. If required the Customer Service Manager can help you with this.

The Garden Terrace Restaurant & Cafe on site have exclusive catering rights within the Hamilton Gardens so any exception for the sale of any food or beverages requires the written permission of both the Pavilion Manager and the operator of the Garden Terrace Restaurant.

While the Turtle Lake Carpark accessed from Gate 1 is sometimes full at peak times there are alternative spaces in the carparks from Gate 2, particularly in the Camellia Carpark. Event organisers should consider recommending access off Gate 2 and larger events sometimes have parking wardens to assist their visitors.

If you have a problem during your event after hours phone (07) 838 6699 for assistance.

Weddings

A $60 administration fee is payable for all weddings in the gardens. All weddings bookings are for a period of one and quarter hours. Generally this means the booking starts about 15 minutes before the start of the ceremony, which allows an hour for the ceremony. The demand for weddings at certain times in some gardens has meant that the number of weddings has had to be limited to allow for general public visits, so it pays to book early.

Bookings are also required for wedding photographs.

No Confetti is to be used in the gardens
